What does a guest profile look like in each status?

Important note: The names and colors of the statuses can be customized individually. Likewise, the host pickup can also take place in a separate host status and not in 'Pending'.

Upcoming

In the Upcoming state, you will see 5 different tabs in the guest profile for this configuration:

 

Summary

In the summary you will find a compact overview of the host and the appointment for which the guest was invited.

Guest Data:

In the guest data you will find a detailed overview of the invited guest.

Host & Appointment:

Under Host & Appointment you can see the details of the host, the appointment creator and the appointment.
Host and appointment creator can be different, as an assistant can, for example, create an appointment for a manager and select them as the host during the appointment creation.

Compliance:

The Compliance tab provides an overview of all compliance documents that the guest still needs to complete or that have already been completed. If the compliance documents have not yet been completed, there is an orange exclamation mark in front of the Compliance tab. If all of them have been completed, the orange exclamation mark changes to a green tick.

Activity Log:

The Activity Log provides an overview of the various steps that the guest has gone through, e.g:

  • Invitation created
  • Check-in at the kiosk
  • Confirmed by reception
  • Card assignment by reception or kiosk
  • Checkout

Pending

Guest must be collected by the host

If the guest has to be collected by the host, the guest is not moved to On-site status, but remains in Pending status. Here you must manually confirm that the guest has been collected. The guest only reaches the On-site status after the Confirm pick-up button is clicked. Depending on the configuration, this can also be done by the host themselves on their mobile phone.

Guest has not passed the Trusted ID Check

If the guest has not passed the Trusted ID check, there is a red exclamation mark to the left of the Trusted ID tab. In the detail view on the right you can see why the document could not be successfully verified. One or more of the errors shown below may occur.

Guest has not agreed to identity verification

If the guest does not agree to the identity verification, you will see in the Summary tab that the Trusted ID Check was skipped, because consent to data processing was declined. If this is the case, the reception must manually verify the guest. If successful, the guest can be checked-in using the Confirm button.

Document is valid, but with warnings

It can happen that minor errors occur that do not lead to a failed Trusted ID, but are nevertheless marked with an orange exclamation mark. In the example below, this is because the ID document has expired. Other common causes are a middle name in the ID document or that a letter in the name has been misspelled.

On-Site

If the check-in is successful, the guest lands in the on-site status in the reception view. This only happens if the guest's identity has been successfully verified and the guest has a valid appointment.

Access Control

The Access control tab is only visible if integration with the access control system is available.
In the Access control tab, you can see which access card has been assigned to the guest and which access profiles have been stored for the guest. The access card is issued either via the kiosk, or manually via reception. The access profiles are usually transmitted with the invitation or stored as a standard profile and therefore do not need to be set by reception.

Past

After a guest has been checked-out, they are placed in Past status. Guests in this status are highlighted in grey. All data categories, such as compliance and guest data, are still visible but can no longer be edited.

Rejected

If a guest is rejected, they will also end up in the Past status. However, this guest is highlighted in red to clearly indicate that they have been rejected.15103518215452_Guest_Journey_Reception_View_Past_Rejected_EN.png
