I was invited to use essentry as a tenant. What does this mean?

Your landlord uses essentry to manage, authenticate and check in guests visiting your business.
essentry allows you to invite guests, be informed of their arrival and grant them access rights to your offices.

Below you will find an overview of the functions available to you as a tenant.

 

General Company Settings

Under Company > General you can upload a Custom Logo for your company to be displayed on the essentry Kiosk, choose a color combination for the buttons and the background during check-in. You can also enable or disable email notifications for the entire account.

Managing Employees

In order for your employees to be able to use essentry to invite guests, they will need to be invited. You can invite new employees in the Company > Employees section of the dashboard.

Managing Guests

An essential part of essentry is the invitation and management of guests.

You can create new guest contacts in the Contacts section in the sidebar. Here you can add contacts individually and edit or delete existing contacts. New contacts can also be added directly during the appointment creation process.

Contacts are always account-bound and not globally available for all employees.

Inviting Guests

You can use the essentry dashboard to invite one or more guests to visit your company by creating an appointment. Invited guests will be notified of their impending appointment via an email generated by essentry. You can create appointments in the Appointment section of the sidebar.

Depending on the settings your landlord has selected, your guests will receive a QR-Code for check-in at the kiosk, in their initial email or in a seperate email after they have completed the online pre-check-in.

Irrespective of that, guests will always be prompted to complete the online pre-check-in, in which they can supply additional information about their person, fill in any custom fields and complete required compliance documents.

This saves your guests time and effort during the onsite check-in.

Custom Fields

Custom fields are used to add information about your guests, such as if the guests requires pickup at the reception, what their license plate is or if they need to be escorted.

There are many different types of custom fields that you can create for your guests. To find out how to create custom fields and what types there are, see this article.

While you can create custom fields yourself, you will need to ask your landlord to assign them to the check-in flow that is being used for your location. 

Compliance Documents

Compliance documents are primarily used to ensure your guests are made aware of important safety information or sign required documents, such as Non-Disclosure Agreements, before they arrive onsite.  

The content of these documents can be freely customized by you to meet you individual needs.

While you can create compliance documents yourself, you will need to ask your landlord to assign them to the check-in flow that is being used for your location. 

Cloud Integrations

essentry offers the option to use various cloud integrations to create appointments, invite guests or manage employees outside of the essentry dashboard. Additionally, you can use our Microsoft Teams Integration to receive notifications.
