You can open up the location specific communications settings by navigating to Company > Locations, selecting the desired location from the list and clicking on Communication in the sidebar.
Here you can define who the default contact person for this location is and how invitation emails, that are sent to guests, are configured.
Default Contact Person
If the host notification is configured in the check-in flow (LINK), the host will get notified once their guests have checked in. A contact person or persons can be specified, who will be notified of the guests' arrival, if a guest has no host specified.
Without a default contact person assigned, no host notification will be sent.
You can assign a default contact person or persons, by selecting them from the left list and clicking on Save.
To remove an assigned contact person, select them from the right list and click on Save.
Email Templates
When you invite a guest, they receive an email from essentry, informing them of the time and place for the appointment. Here you can see our standard invitation e-mail:
You have the option to decide if your guests should receive the invitation email with the QR code already included, or if they should only receive it once they have completed the online check-in.
When you include the QR code in the initial email, no additional email will be sent to the guests upon completion of the online check-in.
When you don't include the QR code in the initial email, a subsequent email containing the QR code is sent out after the online check-in is completed:
Both emails have a default template that is provided by essentry.
The message above the grey box, as well as the message between the grey box and the Online Check-in message, can be customized. If you require customisation of the email template, please contact our support team and we'll be happy to assist you.
Should you have multiple templates available to you, you can select the desired one through the drop-down menu for each type.
