How do I activate Host Notifications?

Host notifications are used to inform your employees of their guest's arrival. The standard host notification setting only notifies the host, but can be adjusted to allow for more versatility.

Hosts can inform reception staff of their arrival time to pick up the guest and/or allows them to move the guest to another state without action by the reception staff. This can be used to activate an access card remotely.

Host notifications are sent via email, but can also be received via Microsoft Teams, if the user has the Teams integration enabled.

 

Simple Host Notification

Simple host notifications can be enabled by adding the action Send notification to host & appointment creator in the check-in flow. Once activated, the host will be notified via email and/or Microsoft Teams notification.

Confirmation of pick-up by the host

An optional setting that can be activated allows the host to confirm the pick-up of the guest via a link in the host notification and thus move the guest from the Host state to the Onsite state, for example, and thus activate their access medium.

This setting is activated by default. Check whether the Confirm Pickup transition exists in the Host state. The transition type is Triggered by host after pressing a button.

By selecting Manage Guests, the host will be redirected to a webpage, where he can confirm that he has collected the guest. This action will move the guests into the defined state.

Guest Pick-up Estimate

You can also activate an option that allows the host to provide feedback to the reception and/or guest on how long it will take for them to arrive at reception to collect their guests.

This option can be activated in the settings for the guest's respective state after they have completed check-in at the kiosk for the time being. Depending on the configuration of your check-in process, this state may vary. The Host state is used by default.

The setting that must be activated for this is called Guest pick-up.

After activation, the host receives the following notification:
